Guide · Never Miss a Lead

How fast should you reply to a new lead?

A clear target for how fast to answer a new enquiry, what the first reply must say, and how a small business can stay fast without watching the inbox.

Reply within a few minutes if you can, and within one hour during working hours at the latest. The first reply does not need to be a full answer. It only needs to show that a real business received the message and say what happens next.

The short answer: three targets you can keep

There is no magic number. But there is a simple way to think about it. The person who wrote to you has a problem right now. Often they are still on their phone or at their desk. The sooner you answer, the more likely they are still thinking about it.

Use these three targets. They are our suggestion, not a law of nature.

When the enquiry arrivesTarget for the first reply
During working hoursA few minutes if possible, one hour at most
Evening or nightAn automatic confirmation at once, a personal reply the next morning
Weekend or holidayAn automatic confirmation at once, a personal reply on the next working day before noon

If you cannot keep these targets yet, do not worry. Pick the one you miss most often and fix that one first.

Why speed matters so much

You do not need a study to understand this. Think about how you buy things yourself.

  • People ask more than one business. Someone who needs a plumber, a photographer or an accountant often sends the same message to two or three companies. The first helpful answer has a real advantage.
  • Interest fades. The need feels urgent in the moment of writing. A day later the person is busy with other things, or has already found someone.
  • Speed is a signal. A fast, clear reply tells the customer how it will feel to work with you. A slow reply tells them the same thing, in a bad way.
  • Silence feels like a no. If nothing comes back, many people assume the form did not work or that you are not interested.

Notice that none of this is about being the cheapest. Being quick and clear is something a small business can do better than a big one.

What the first reply must contain

A fast reply that says nothing is not much better than silence. A good first reply has four parts:

  1. Confirm that you got the message, and repeat in one line what they asked for.
  2. Say who will answer and when.
  3. Ask one question that moves things forward, if you need more information.
  4. Give a direct way to reach you if it is urgent.

Here is a template you can copy and change:

Hi [Name],

Thank you for your message about [topic]. I have received it and I will send you a full answer by [time or day].

One quick question so I can give you a correct price: [question]?

If it is urgent, you can call me on [phone number].

Best regards,
[Your name], [Business]

Keep it short. Do not attach a brochure. Do not add an offer. The only goal is that the person knows they are in good hands and waits for your full answer.

How to be fast without living in your inbox

Most small business owners are slow for a good reason. They are on a job, with a customer, or driving. So the answer is not "check email more often". The answer is a small system.

  1. Send form messages to one place. Use one inbox for enquiries, not three. Check that the form really arrives there. Send a test message today.
  2. Turn on a phone alert for that inbox only. A special sound for new enquiries helps you see them between two jobs.
  3. Save two or three ready replies. Most email apps let you save templates. With a template, a first reply takes one minute on the phone.
  4. Set an automatic confirmation. It covers the time when you really cannot answer. See our guide on setting up an auto reply for your contact form.
  5. Fix two reply times per day. For example 12:00 and 17:00. Every open enquiry gets a personal answer in one of these slots.

If you do not want to build this yourself, a tool can do it. Astranode's Never Miss a Lead sends an instant reply from your own email address, alerts you, and follows up politely on day 2 and day 5 until the person answers.

What to do when you are late anyway

It will happen. You find an enquiry that is three days old. Do not ignore it out of shame. A late reply is still much better than none.

  • Say sorry in one sentence. Do not write a long excuse.
  • Answer the question fully in the same email. Do not ask them to wait again.
  • Offer a fixed time for a call or a visit.

Hi [Name],

I am sorry for the late reply. Your message deserved a faster answer.

Here is what I can offer: [short answer or price range]. If that works for you, I have time on [day] at [time] or [day] at [time].

Best regards,
[Your name]

Then ask yourself why it was late. Did the message land in spam? Was it in an inbox nobody reads? Fix the cause once, and it will not happen again next month.

The short version

Aim for a first reply within minutes, or within one hour during working hours. A short, clear confirmation that says what happens next is enough to keep the person with you.

Questions

Good to know

Is an automatic reply enough?
No. It buys you time and shows the form worked. A personal answer still has to follow, ideally the same day or the next morning.
Should I call or email a new lead?
Use the channel they used, unless they gave a phone number and asked for a call. If the matter is urgent or complex, a short call is often faster for both sides.
What if I get enquiries at night?
Send an automatic confirmation right away that says when you will answer personally. Then answer first thing the next working day.
