How many cold emails can you send per day?

There is no official safe number. See the cautious range many senders use per mailbox, how to grow the total safely, and the signs you send too much.

There is no official safe number, but many careful senders stay at about 20 to 40 cold emails per mailbox per day, after a slow start. If you need more, you add mailboxes and domains instead of pushing one mailbox harder.

There is no official number

No mailbox provider publishes a safe number for cold email. Google Workspace and Microsoft 365 publish technical sending limits per day, but those limits are for normal business mail. They are not a promise that your cold emails will reach the inbox. You can stay far below the technical limit and still land in spam.

What mailbox providers really watch is how people react to your mail. Do they open it, reply to it, ignore it, or mark it as spam? A small number of spam complaints hurts much more than a high volume helps. Google says senders should keep the spam complaint rate shown in Postmaster Tools below 0.3%, and it recommends staying well under that.

So the right question is not "how many can I send?" It is "how many can I send while people still treat my mail as wanted?"

A cautious range that many senders use

The numbers below are common cautious practice. They are not official limits, and your own results can differ.

Settled mailboxAbout 20 to 40Many senders stop here and add mailboxes instead.

Follow-ups count too. If you send 30 new emails a day and each person gets two follow-ups, the mailbox is soon sending far more than 30 a day. Plan the total, not only the first emails.

How to reach a higher total safely

If you need more than one mailbox can carry, do not push that mailbox harder. Spread the sending.

  1. Use a separate domain for outreach. Keep your main company domain for customers and invoices. If the outreach domain gets a bad reputation, your normal mail is not hurt.
  2. Add mailboxes, not volume. For example, if you want about 300 emails a day and you plan 30 per mailbox, you need about 10 mailboxes. Many senders put only 2 or 3 mailboxes on one domain, so that is 4 or 5 domains.
  3. Set up SPF, DKIM and DMARC on every domain. Without them, the rest does not matter. See cold email deliverability in plain words.
  4. Send during working hours and space the emails out. Thirty emails in one minute look like a machine. Thirty emails across a working day look like a person.

This costs money for domains and mailboxes. That is the real price of sending more, and it is cheaper than burning the domain your business depends on.

What matters more than the number

  • The list. Send only to people for whom your offer makes sense. One hundred well-chosen business contacts beat one thousand scraped addresses.
  • Checked addresses. Verify addresses before you send. Many bounces tell providers you do not know who you are writing to.
  • A short, plain email. A few sentences, one question, no images, no attachments and at most one link.
  • An easy way out. Tell people how to stop the emails, and honour it at once.
  • The law. Volume does not make an unlawful email lawful. Rules differ a lot between countries. Read is cold email legal? before you send. This is general information, not legal advice.

Signs that you are sending too much

Check these every week. If one appears, cut the volume by half and find the cause before you go on.

  • Replies drop while the number of emails stays the same.
  • Bounces rise.
  • People answer "how did you get my address?" or "stop" more often.
  • Google Postmaster Tools shows a rising complaint rate.
  • Test emails to your own Gmail or Outlook address land in spam.
  • Your mailbox provider sends a warning or limits the account.

If you would rather not build this yourself, Astranode sets up cold email outreach by quote: domains and mailboxes in your name, the technical records, warm-up and templates. We only send to business addresses in the US and the UK, and we do not promise results.

The short version

Keep each mailbox at a few dozen cold emails a day, grow by adding mailboxes on separate outreach domains, and let replies and complaints, not the technical limit, tell you when to slow down.

Questions

Good to know

Can I send 500 cold emails a day from one mailbox?
Technically a provider may allow it, but it is very likely to hurt your sender reputation. Many senders spread that volume over many mailboxes and several domains instead.
Do follow-up emails count toward the daily number?
Yes. Mailbox providers see every email you send. Plan the total of first emails and follow-ups per mailbox per day.
Should I use my main company domain for cold email?
It is safer to use a separate domain for outreach. If its reputation suffers, your normal customer email and invoices are not affected.
