What is an AI receptionist and what can it do?

An AI receptionist answers common questions, takes details and books appointments around the clock. What it can do, what it cannot, and who needs one.

An AI receptionist is software that answers customer questions by chat or phone, takes down their details and books appointments, at any hour. It works from information that your business gives it. It does not replace your judgement, and it should hand over to a person when it reaches its limits.

What an AI receptionist is

Think of the first two minutes of a customer contact. Someone asks if you are open on Saturday, what a service costs, or if you have a free slot next week. An AI receptionist handles these first minutes. It sits on your website as a chat, answers your phone line, or replies in a messaging app, depending on the product.

It is different from an old phone menu ('press 1 for sales'). The customer writes or speaks in normal sentences, and the assistant answers in normal sentences. It is also different from a general AI chat tool. A good AI receptionist only answers from information your business has approved: your opening hours, services, prices, service area and policies.

You may also see the names virtual receptionist, AI assistant or AI phone agent. They overlap. Look at what the product does, not what it is called.

What it can do

  • Answer common questions. Hours, address, parking, prices, which services you offer, how long things take.
  • Take details. Name, phone number, what the person needs, when they are free. You get a tidy summary and do not have to listen to a long voicemail.
  • Book appointments. If it is connected to your calendar, it can offer free slots and book one.
  • Sort enquiries. It can tell a new customer from an existing one, or an urgent problem from a general question, by asking.
  • Hand over. When a question is outside its information, or the customer asks for a person, it passes the conversation on with the details collected so far.
  • Work outside opening hours. Evenings, weekends and lunch breaks are covered.

For a small business, the value is simple. People who contact you get an answer right away, and you get their details even when nobody is free to pick up.

What it cannot do

Honest limits matter more than a long feature list.

  • It does not know what you did not tell it. If your price list is out of date, its answers are too.
  • It can make mistakes. AI systems sometimes misunderstand a question or give a wrong answer. Good products reduce this by sticking to approved information and saying 'I do not know, let me pass you on' where needed.
  • It should not give professional advice. No diagnosis, no legal opinion, no binding quote for a complex job.
  • It does not handle emotions well. An upset customer or a complaint belongs with a person.
  • It is not for emergencies. It should tell people clearly who to call in an emergency.

How a conversation looks

Here is a short example for a plumbing business, late in the evening:

Customer: Hi, do you fix boilers?
Assistant: Hello. I am the AI assistant of Harris Plumbing. Yes, we repair and service gas boilers. Can I ask what the problem is?
Customer: No hot water since this morning.
Assistant: I am sorry to hear that. I can book a visit. We have a slot tomorrow at 9:00 or at 13:30. Which suits you?
Customer: 9 is good.
Assistant: Done. May I have your name, address and a phone number so the engineer can reach you?

Note three things. The assistant says it is an AI. It only offers what the business really does. And it ends with a booked visit and contact details, not with 'please call back tomorrow'. Being open about AI is the honest default. More on this in should you tell customers they are talking to AI?

Does your business need one?

Not every business does. Go through this checklist:

  • Do enquiries come in while you are with customers, on a job, or closed?
  • Do people ask the same handful of questions again and again?
  • Do you often call back hours later and find the person has already booked elsewhere?
  • Is the first step usually the same: take details, book a slot?

If you say yes to two or more, it is worth a look. If you get few enquiries and answer them all quickly, you do not need one. To get real numbers, count for two weeks how many calls and messages came in outside working hours or went unanswered.

A smaller first step is also possible. An instant auto reply to website enquiries or a text after a missed call solves part of the problem for less money.

What it costs and how to start

Most products charge a setup fee plus a monthly fee. Some charge by minute or by conversation. Ask what is included and what happens if you go over the limit.

Setup takes real work from you. You have to write down your services, prices, hours and the answers to your common questions. The quality of this information decides the quality of the answers. Then test it yourself: ask the questions your customers ask, including odd ones, and check each answer.

As one option, the Astranode 24/7 AI Receptionist is in early access at $1,500 setup plus $199 per month. It answers from your approved information, takes details, books appointments, hands over to a person and tells people it is an AI assistant. Before you buy from anyone, use these 10 questions to ask a vendor.

The short version

An AI receptionist covers the first minutes of a customer contact: answer, take details, book, hand over. It is only as good as the information you give it.

Questions

Good to know

Will an AI receptionist replace my front desk staff?
It is better seen as cover for the times when nobody can answer, and for repeated simple questions. Complaints, special cases and personal care still need people.
Does it work on the phone or only as a chat?
That depends on the product. Some work as a website chat, some answer phone calls, some do both. Ask the vendor which channels are included.
Is it hard to set up?
The technical part is usually done by the vendor. Your part is to supply clear, current information about your services, prices and rules, and to test the answers.
