Taking bookings and orders on WhatsApp

How to take bookings and orders on WhatsApp without chaos: a clear flow, the details to collect, copy-ready messages and when a bot makes sense.

You can take bookings and orders on WhatsApp with a fixed flow: collect the same few details every time, repeat them back, and confirm in one clear message. This guide shows the flow, gives you messages to copy and explains when to do it by hand and when to automate it.

Why WhatsApp works for bookings and orders, and where it does not

Many customers already use WhatsApp every day. Writing a short message is easier for them than a phone call or a long form, and both sides have the agreement in writing.

But a chat is not a booking system. Without structure, three problems appear quickly:

  • Missing details. The customer writes "table for tomorrow" and you need three more messages to find out the time and the number of people.
  • Buried messages. An order from 11:40 sits under ten newer chats and nobody sees it.
  • Double bookings. The chat and your calendar do not know about each other.

The fix is not a better app. It is a fixed way of working that everyone in your team follows.

A booking flow in five steps

  1. Greet and ask what the customer needs. One question, with the options you offer.
  2. Collect the details. Service, day, time, name. For some businesses also the number of people or a staff member.
  3. Check your calendar. Offer two or three concrete slots. "Thursday at 14:00 or Friday at 9:30?" is faster than "When suits you?"
  4. Confirm in one message. Repeat everything: service, date, time, address, and how to cancel.
  5. Enter it in the calendar at once. Not later. The chat is not your calendar.

First reply:

Hi, thanks for your message to [business]. Which service would you like to book, and which day suits you best? Please also send your full name.

Confirmation:

Your appointment is booked: [service] on [day, date] at [time] at [business], [address]. If you cannot make it, please reply here at least [for example, 24 hours] before.

An order flow that avoids mistakes

Orders need one extra step: the summary. Most mistakes happen because a detail was read wrongly, not because it was missing.

  1. Show what can be ordered. Send your menu or price list as a link, a PDF or the catalogue in the WhatsApp Business app. Number the items if you can.
  2. Take the order. Item, quantity, special wishes.
  3. Ask: collection or delivery? For delivery you need the address. For collection, a time.
  4. Send a summary and ask for an OK. Only start when the customer confirms.
  5. Say how payment works. Cash or card on collection, an invoice, or a link from your normal payment provider. Do not ask for card numbers in the chat.
  6. Send a short message when the order is ready or on its way.

Order summary:

Thank you. Your order: [2 x item A, 1 x item B]. Total: [amount]. Collection today at [time] at [address]. Payment on collection. Is everything correct? Please reply with OK.

Order ready:

Your order is ready for collection. See you soon at [business].

By hand, with the app, or with a bot

SetupHow it worksFits when
By hand in the WhatsApp Business appOne person answers on one phone, using saved quick repliesYou get a few bookings or orders a day
App plus fixed routineQuick replies, labels such as "new" and "confirmed", catalogue, fixed checking timesYou get a steady flow and one or two people answer
Bot on the WhatsApp Business PlatformSoftware asks for the details, checks free slots, confirms, and hands over to a person when neededMessages arrive at all hours, several people need access, or the same questions repeat all day

Start with the simplest setup that works. Many small businesses do well for a long time with the free app and five good quick replies. The guide WhatsApp Business app or Platform explains the difference between the two.

A bot should not try to do everything. It is good at asking the same questions without getting tired. It should pass the chat to a person for complaints, unusual wishes and anything it does not understand.

Rules and good habits

A few rules protect you and your customers:

  • The customer starts. When a customer writes to book or order, you can answer. On the Platform, their message opens a 24-hour window for free replies. Later messages outside it, such as a reminder three days after the booking, need an approved template and the customer's opt-in.
  • Ask before you send reminders. A short question in the booking chat is enough: "May we remind you here the day before?"
  • Collect only what you need. Name, time and service are enough for most bookings. Do not ask for health details or payment data in the chat.
  • Keep your own record. Chats get deleted and phones get lost. The calendar or order list is the source of truth.
  • State your answering hours. An away message outside opening hours stops customers from waiting for a reply that will not come tonight.

Meta charges for some messages on the Platform and the pricing has changed over time, so check Meta's current pricing before you plan. Data protection rules differ by country. This is general information, not legal advice.

A short checklist before you start

  • A business number that is not a private one
  • Profile filled in: address, opening hours, short description
  • Quick replies for greeting, details, confirmation and "we are closed"
  • A fixed place for every booking or order: calendar or list
  • One named person who checks the chat, and fixed times for it
  • A rule for cancellations and changes
  • A test: ask a friend to book and to order, and watch where it gets stuck

If the volume grows and you want the flow automated, the WhatsApp Bot from Astranode takes bookings and orders and hands over to a person when needed. It is in early access.

The short version

Bookings and orders on WhatsApp work when every chat follows the same steps and ends with a clear written confirmation that goes straight into your calendar or order list.

Questions

Good to know

Can customers pay inside WhatsApp?
Payment features in WhatsApp depend on the country. A safe option is payment on collection or a link from your normal payment provider. Never ask for card details in chat.
Do I need a bot to take bookings on WhatsApp?
No. With a few bookings a day, the free WhatsApp Business app and saved quick replies are enough. A bot helps when volume or working hours grow.
May I send appointment reminders on WhatsApp?
Ask the customer for permission first. On the Platform, reminders outside the 24-hour window must be approved templates.
